SUMMARY

The Facilities Workplace Experience & Operations Lead is responsible for enabling and enhancing an engaging workplace environment where every Spark team member can be their best every day.  He/she will develop and execute workplace strategies, programs, policies, processes and standards that reflect and promote Spark’s Culture and Values and provide an engaging, safe, compliant and productive workplace environment. 

 

This individual must have a high touch customer service orientation to understand the unique needs of the business, along with industry trends and best practices, to consistently deliver comprehensive workplace solutions and services that enables high performing teams.

 

He/she is responsible for providing office services and facilities management for each of Spark’s existing office locations as well as expanding/dispositioning facilities and geographic locations.

Project Execution and Strategic Planning

 

  • Participate in strategic planning and understand business strategies and translate them to facility operational requirements, providing quality workplace services and design
  • Develop short- and long-term plans and programs for the innovation of office space activities based on strategic plans.
  • Develop and maintain relationships with senior leaders, cross functional stakeholders and other project members to capture employee workplace needs
  • Plan and resource new project execution and oversight of operational readiness and workplace experience/wellness subprograms.
  • Incorporate Spark’s values and culture into workspace design and construction

Workplace Experience & Facilities Operations

  • Allocate and manage facility space for maximum efficiency and ensure all teams are set up to do their best work at the office.
  • Ensure a welcoming experience for all team members, candidates, and guests while maintaining the necessary level of building security
  • Develop concierge initiatives designed to create connections between Spark team members and share information regarding local attractions, events (concerts, theater, sporting events, special events, etc.), and news (road closures, traffic patterns, weather issues, etc.).
  • Partner with IT to ensure workplace technologies for amenity space are designed, deployed and supported with the experience in mind.
  • Ensure team member complaints, questions, concerns and suggestions are addressed and conduct follow-up, continually improving services provided.
  • Communicate required information to employees, executives, business leaders, cross functional stakeholders, third party vendors and/or landlord, as needed
  • Assist with coordination of employee events to include communication/collateral distribution, meeting facilitation, and coordination with IT to support technical logistics
  • Develop relationships with team members and proactively gather information on their needs to identify processes and services that could help them achieve their goals.
  • Develop and/or implement workplace wellness initiatives
  • Manage planning of building space and allocation, collaborate with corporate functions to determine and define specific needs and space requirements, lead space planning/allocation reviews and updates.
  • Manage real estate portfolio including lease negotiations and review of monthly billings in collaboration with Legal and Finance.    
  • Manage relationships with landlords, property management, and third-party service providers and vendors.
  • Partner with EHS and Corporate Security to ensure compliance with health and safety standards.

Financial Diligence

 

  • Manage department budget within financial planning guidelines, including budget oversight and review of project proposals.
  • Tracking budget-versus-actual performance throughout construction project execution to enable course-corrections.
  • Track and update facility budget for locations including maintenance, office supplies and breakroom supplies.

Requirements
  • BS/BA degree in Facilities Management, Real Estate, Architecture, Interior Design or related field preferred or its equivalent
  • 10+ years of relevant experience managing multiple teams in facilities operations, experience services, events, amenities and property services management
  • Responsible for designing “the end user experience” and implementation strategy for other organizations.
  • Experience in facilities procurement, lease negotiation, design, project management and, management of vendors and outside partners.
  • Demonstrated ability to interact with individuals at all levels within the organization.
  • Experience managing a growing workplace and scaling workplace programs and initiatives.
